Privacy Policy
This policy explains how BasimDigital collects, uses, shares, and protects information across its website, related platforms, project intake, client portal, and communications.

1. Who This Policy Covers
"BasimDigital," "we," "us," and "our" refer to BasimDigital as the umbrella organization for BasimDigital Lab and related businesses, brands, products, platforms, ventures, and services. Related businesses may include current or future BasimDigital-operated platforms such as Memovara, DocPorta, NexaOS, Baritom/Boritom, TheVotingStation, PABSmartPrep, ProgramBook/PrintOps, cloud modernization work, and other affiliated offerings.
Product-specific privacy notices or client agreements may provide additional terms for a specific related business or platform. If a product-specific notice conflicts with this policy for that product, the more specific notice controls for that product.
2. Information We Collect
We collect information that you provide, information generated through use of our services, and limited technical information from website and platform activity.
- Contact and business information: name, email address, company or organization, website, preferred contact method, project details, and similar inquiry information.
- Project and portal information: project intake responses, workspace activity, messages, files, milestones, next actions, internal review metadata, and account verification records.
- Communications information: email, support requests, meeting notes, SMS consent records, phone numbers if provided, message status records, HELP/STOP requests, and related communication logs.
- Technical information: IP address, browser type, device information, referring pages, approximate location derived from technical data, analytics events, security logs, and cookie or similar technology data.
- Payment and contract information: billing contact details, invoices, payment status, statement of work details, and project agreement information. Payment card data, if used, is handled by payment processors and is not intended to be stored by BasimDigital.
3. How We Use Information
- Respond to project inquiries, evaluate project fit, and prepare discovery, proposals, or workflow audits.
- Operate websites, platforms, client portals, CRM workflows, file handling, messaging, and project management processes.
- Provide support, send service updates, verify account access, and communicate about projects or related services.
- Send marketing or educational communications where permitted by law and your preferences.
- Improve security, prevent abuse, monitor performance, debug issues, and maintain audit trails.
- Analyze public website engagement using privacy-conscious analytics and improve content, user experience, and service delivery.
- Comply with legal, regulatory, tax, accounting, contract, and carrier compliance obligations.
4. SMS, Phone Numbers, and Mobile Consent Data
If you provide a mobile number and consent to SMS communications, BasimDigital may use that number to send messages described in our SMS Compliance Terms. SMS consent is not a condition of purchase.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All data-sharing categories in this policy exclude text messaging originator opt-in data and consent. SMS opt-in data, SMS consent records, and mobile numbers collected for SMS purposes will not be shared with any third party for marketing or promotional use. We may share limited SMS-related information with service providers that help deliver messages, manage opt-outs, secure systems, comply with law, or fulfill a request you make.
5. Analytics, Cookies, Spam Protection, and Session Replay
Public marketing pages may use Cloudflare Web Analytics or similar privacy-conscious analytics. If public-page heatmaps or session replay tools such as Microsoft Clarity are enabled, form inputs must be masked and sensitive fields must not be intentionally captured.
Our forms are protected by Cloudflare Turnstile, which runs invisibly to distinguish human visitors from automated abuse without displaying a challenge. Turnstile evaluates limited technical signals such as browser characteristics and network information. Cloudflare's handling of this data is described in the Cloudflare Turnstile Privacy Addendum.
Authenticated client portal pages must not run heatmaps, mouse tracking, or session replay. Portal analytics are limited to safe product events, such as login completed, brief started, file uploaded, message sent, and project status viewed. Private project details, message content, uploaded file content, and form field values must not be captured in analytics tools.
6. How We Share Information
We do not sell personal information. We may share information in these limited ways:
- Within BasimDigital: among BasimDigital Lab and related businesses when needed to evaluate, deliver, support, or improve a service.
- Service providers: vendors that host infrastructure, process email, provide analytics, deliver SMS, support security, store files, process payments, or support business operations.
- Client-authorized sharing: with collaborators, administrators, or client contacts you authorize for a project or workspace.
- Legal and safety: when necessary to comply with law, enforce agreements, protect rights, prevent abuse, or respond to lawful requests.
- Business transfers: as part of a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate confidentiality and legal safeguards.
7. AI-Assisted Workflows
BasimDigital may use AI-assisted tools to support drafting, analysis, classification, search, workflow automation, quality review, and software development. We design AI workflows to limit unnecessary disclosure of sensitive client information and to preserve human review for important business, technical, legal, compliance, and operational decisions.
8. Data Retention
We retain information for as long as needed to provide services, maintain project records, operate portals, comply with legal or accounting obligations, resolve disputes, maintain security, and enforce agreements. Retention periods may vary by related business, platform, client agreement, or legal requirement.
9. Security
We use administrative, technical, and organizational safeguards designed to protect information. No system can be guaranteed completely secure. Clients and users are responsible for using strong passwords, protecting login methods, and limiting access to authorized team members.
10. Your Choices
- You may request access, correction, or deletion of certain information by contacting us.
- You may opt out of marketing emails by using the unsubscribe mechanism where provided.
- You may opt out of SMS by replying STOP to a BasimDigital SMS message.
- You may disable cookies or similar technologies through your browser settings, though some site features may not work correctly.
11. Children
BasimDigital websites and business services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 through this website.
12. International Visitors
BasimDigital is operated for a U.S.-based audience unless a product-specific notice says otherwise. If you access the site or services from outside the United States, your information may be processed in the United States or other locations where our providers operate.
13. Changes to This Policy
We may update this policy from time to time. The updated version will be posted at basimdigital.com/legal/privacy with a revised effective date.
